OKEANOS LUXURY VILLAS HOUSE RULES AND BOOKING TERMS

GENERAL REQUIREMENTS

All Guests (and any Visitors) must comply with all House Rules and any other instructions from the Property Manager during their stay; and Guests must notify the Property Manager of any disputes or complaints from neighbors as soon as reasonably practicable.

BOOKING TERMS

Minimum check-in age – 18

CHECK-IN TIME: 3:00 pm

EARLY CHECK-IN/PRE-REGISTRATION

Early check-in is offered based on availability. If you require a guaranteed check-in for arrival prior to 3:00pm then Pre-Registration and payment may be required.

CHECK-IN REQUIREMENTS

In the interests of security and to prevent fraud, guests are required to confirm their identity by providing their valid government issued photo identification (State driver’s license, passport, id, etc.) at check-in. A valid, signed, and pre-approved credit card in the name of the guest registration is also required. It is your responsibility to fully understand the way your bank processes pre-authorizations and charges to your credit/debit card.

PRE-AUTHORIZATION AT CHECK-IN

We may require pre-authorized of credit cards/debit cards at check-in. A pre-authorization is a temporary hold of a specific amount of your available credit limit balance placed on your credit/debit card for the full amount of your intended stay, plus tax. All credit/debit cards are pre-authorized at check-in. Pre-authorization is not a charge to your account, it is a hold on those funds. Once your actual charge is posted at check-out it can take anywhere from 24 hours to 30 days for the original pre-authorization to be removed by your bank. Generally, most banks release the hold within 3-5 days. It is your responsibility to be aware of how your bank handles all your transactions, including pre-authorizations. We are unable to remove pre-authorizations directly through our Villas.

GUEST REGISTRATION

We require valid contact information from the guest making the reservations including first and last name, address, phone number, email and signature. The names of all guests occupying the room must be registered. Information regarding your license plate/car description is also gathered at check-in for security.

Guest deposit or fully payment relates to securing Okeanos Luxury Villas as advertised and agreed. Any deposit paid for Okeanos Luxury Villas shall be taken as confirmation of acceptance of the following terms and conditions. Okeanos Luxury Villas reserves the rights to amend/add at its own discretion, anytime and without prior notification.

BOOKINGS

Provisional Confirmation of Availability and Rates Upon receipt of a request for availability, the applicable villa rates and the amount of deposit required shall be confirmed. Bookings are on right of “first come, first to be served” basis.

Exclusions & Additional Charges:

Rates do not include personal items and expenses, and any excessive cleaning required upon departure or replacement of breakages. Fair wear and tear accepted.

Rates:

Rates quoted by representatives of Okeanos Luxury Villas are on a per night basis. Check-in is from 3 pm, check-out by 10 am.

Personnel:

Only those persons stipulated on the booking form may reside at the property as guests. Please notify us as soon as possible of any changes. Rates quoted allow for maximum occupancy of Okeanos Luxury Villas as agreed in advance.

PAYMENT

All reservations and registration must be guaranteed with a valid major credit card. Pursuant to credit card agreements, credit cards are not valid unless signed by the cardholder. Credit cards must be signed. Cash (EURO) payment is welcomed upon the limit sun as instructed by Greek authorities and with a signed and pre-authorized credit card. All guests are required to present a valid major credit card and government issued photo identification even if guests are planning on paying in cash upon check-out. Checks and foreign currency not accepted.

CHECKS AND CHECK CASHING

We do not accept checks. We do not provide check cashing services.

DEBIT CARD/CREDIT CARD HOLDERS

Your credit card is not valid unless signed. We will refuse an unsigned card. Your Debit or Credit Card will be pre-authorized at check-in for the full amount of your stay unless you have already been pre-charged. The pre-authorization will HOLD the funds until check-out, at which time the amount actually incurred during your stay will be charged. If you change your method of payment at check-out or change the length of your stay, your bank may not post the changes to your account immediately. Okeanos Luxury Villas has no control over the policies of your bank and will not be held liable for any “insufficient funds” penalties or any other resulting fees or charges. It is your responsibility to fully understand the way your bank processes pre-authorizations and charges to your debit or credit card. Some banks hold pending authorizations for up to 30 days.

DEPOSITS AND GUARANTEES

All reservations must be guaranteed with a valid major credit card. We do not charge your credit card at the time you make your reservations. Your credit will guarantee your reservations. Your credit card will be charge once you have entered the non-cancelation period before check-in. Please make sure to receive a reservation confirmation number when you make a reservation. Reservations will be held until 11:00 A.m. the morning following your scheduled arrival date. If you have not checked in by that time, a NO-SHOW charge will be fully charged to your credit card. Okeanos Luxury Villas is not responsible for weather conditions, personal emergencies, or schedule changes.

RESERVATION AND PAYMENT FOR GUESTS BY PRIVATE THIRD PARTIES

Generally, third party payment is not permitted. In the case of paying for a family member if you will not be physically present at the villas, we require prior completion and approval of a Credit Card Authorization form including a copy of your driver’s license and the front and back of your signed credit card. You will be responsible for all damages and loss. We reserve the right to refuse reservation at any time for any reason.

DISCOUNTS

We do not offer discounted villa rates for participation or employment in organizations such as AAA, AARP, government employees, etc.

CHECK-OUT TIME: 10:00am

Room rental period expires at 10:00 a.m. Additional day charge, plus tax may apply for late checkout.

CHECK-OUT PROCEDURE

Check-out time is 10:00 am. Please check-out with the owner/manager so that housekeeping may begin cleaning your room as soon as possible. If you require a later check-out, please contact the owner/manager prior to the day of your departure and we will do our best to accommodate your request. A charge may apply for late check-out.

LATE DEPARTURE

Guests who check out of the villas after 10:00 am are subject to a late departure fee of one night, plus tax.

NOISE AND "THE NEIGHBORHOOD"

Guests and Visitors must keep noise to a minimum as not to disturb the occupants of neighboring properties – especially during nighttime hours (e.g., 11pm – 8am), and upon arrival and departure. Quiet Hours are: 11:00 pm to 8:00 am. If you become aware of a disruptive guest, please contact the owner/manager immediately by phone or in person. Televisions or other devices must be always kept at a respectful low level. Okeanos Luxury Villas is suitable for children. However, guests are always fully responsible for the safety and security of their children, as well as any disturbance caused to other residents in the property. Excessive noise is always prohibited and may result in termination of the vacation rental agreement, eviction, loss of rental paid and extra charges.

SMOKING

Smoking is NOT permitted inside the villas or next to the swimming pools. Failure to do so will result penalties and additional charges. For safety and to assure that our facility is not exposed to items or actions that create an odor which is unhealthy and objectionable to our guests and staff, and that is difficult to remove from the air, carpet, walls, and furniture we do not permit smoking tobacco, marijuana, illegal drugs, e-cigarettes, vape pens, vaping, cartridges containing the liquid of nicotine, hookahs, incense, cooking, cigars, candle burning, the use or diffusing of patchouli oil or other strong-smelling plant-based essential oils or synthetic products in our facility. Marijuana and any other illegal substances are always prohibited in all parts and terrains of Okeanos Luxury Villa.

VISITORS

No visitors after 10:00 pm. Guests must notify Okeanos Luxury Villas' staff upon the arrival of their guests. Visitors must be always accompanied by the registered guest. Visitors are not allowed to use guest amenities including the pool or Wi-Fi. As a registered guest, you are responsible for your visitor at all times. Visitors are complicit with these House Rules.

Any additional overnight Visitors must be approved in advance during the booking process and are subject to an additional fee as noted in the price.

FUNCTIONS

Parties and large gatherings of any kind are strictly prohibited at the Okeanos Luxury Villas; and any small gathering must comply with other rules set regarding Noise, the Neighborhood and Visitor numbers.

It is not allowed to sit or lie down on any inside villa furniture being wet or having sunscreen on the skin (or any kind of cream, oil, or mosquito spray), which will be in contact with the furniture. Any damage, which occurs, may result in penalties or extra charges.

Okeanos Luxury Villas behavior rules do not allow any kind of violence or any kind discrimination towards villa staff on sex, race, and class lines.

In severe cases, this will be treated as a cancellation of the original booking and no refund can be claimed from either Okeanos Luxury Villas or Okeanos Luxury Villas owner or the local representative.

PARKING

Guests and any Visitors are to comply with parking regulations and other requirements set out below and show consideration to neighbors and other vehicles; and Parking arrangements at Okeanos Luxury Villas are as explained on check-in. Parking for registered guest(s) is free. All vehicles are parked at the risk of the owner. Okeanos Luxury Villas do not assume liability or responsibility for any vehicle, occupants, or contents while operated or parked on the property. If a vehicle is left in the parking lot after the guest has departed without the written consent of Okeanos Luxury Villas manager, Okeanos Luxury Villas reserves the right to have the vehicle towed at the owner’s expense. No vehicle repairs on Okeanos Luxury Villas premises. Maximum car velocity permitted all over the resort: 10 Km/h.

GARBAGE, TIOLETS AND RECYCLING

Guests and their Visitors are to dispose of Garbage and Recycling in accordance with the usual practice at the Okeanos Luxury Villas (as set out below) in the allocated trash cans, and excess rubbish must not be left in public or common areas; Do not throw paper, paper towels or feminine products in the toilets. Besides that, Garbage and Recycling arrangements at Okeanos Luxury Villas are as explained by the owners at check-in.

SECURITY

Any time Guests leave the villas, it is their responsibility to ensure all windows and doors are closed/locked to maintain security and prevent rain and water damage. Guests must switch off lights, air conditioning, fans, electronics such as televisions when not in use to promote energy saving. It is not permitted to leave the air conditioning on when Guests are absent from the villas.

SWIMMING POOL

The swimming pool will be kept clean and operational by the property staff. You must also help keep the swimming pool clean and clear of debris and foreign materials. For safety reasons, it is not permitted to use any glassware in or around the pool area. The swimming pool meets all safety standards and guidelines; therefore, you assume full responsibility for the safety of all members of your party in and around the swimming pools. In case of accident, injury, or death, by accepting the villa rental you waive any future claim against the Owner. There is no Lifeguard at the resort. NEVER LEAVE BABIES AND CHILDREN UNATTENDED PLAYING AROUND OR INSIDE A SWIMMING POOL.

BALCONY AND DECK AREAS

Guests must always supervise any babies and children when using the Deck and Balcony areas. Specific Deck and Balcony rules are as shown and explained at check-in.

PETS

Pets are permitted at Okeanos Luxury Villas. However, you are asked to follow the specific rules regarding Pets at Okeanos Luxury Villas as explained by the owners at check-in.

PHOTOS AND VIDEOS

Photographs and videos of all our properties can be taken only for personal use and cannot be used for any other purposes.

DAMAGES AND BREAKAGES

All Damages and Breakages must be reported to Okeanos Luxury Villas' Manager/owner as soon as reasonably practicable. Failure to report them will likely result in a penalty and/or extra charges.

And to avoid Damages and Breakages, no furniture is to be moved from one room to another without prior agreement. Also, no bathroom towels are to be removed from the property (i.e., for beach use). Separate beach towels are provided for this purpose. Also, open fires, flames, and fireworks are not allowed anywhere on the property.

ACCESS TO VILLAS

To provide all our guests with an exceptionally clean and safe experience, we provide housekeeping. The Housekeeping Staff is required to enter the villa at subsequent times to clean the villa, check for safety, and verify the condition of the villa. Management reserves the right to enter a villa with guests for reasonable purposes, such as an emergency, housekeeping, maintenance, verify that the villa, its furnishings, and mechanical equipment are intact, or to address or prevent a violation of our villas' Policy/House Rules. In the event of suspected illegal activity, management reserves the right to summon law enforcement to aid in eviction. The right to privacy ends when a villas' Policy/House Rule is broken. Law enforcement will be granted immediate access to Okeanos Luxury Villas property and villas of evicted guests.

CHILDREN

Well behaved children of all ages are welcomed. As the parents, guardians, or chaperones of children you are personally and legally responsible for and must always supervise them. For safety reasons, please do not leave children unattended in guest villas or allow them to roam the property unsupervised. Children under the age of 13 are not allowed in the pool area without being accompanied and supervised by their parent/guardian/chaperone.

VILLA KEYS

Villa keys are issued to the registered guest(s). No villa keys will be issued to youth under 18 at any time. Please return villa keys to us at Check-out.

HOUSEKEEPING/VILLA INSPECTION

Villas are cleaned and inspected daily. villas are rented to guests in appropriate condition without any prohibited odor. Housekeeping and staff are trained and skilled in identifying the odors from prohibited items. If our investigation concludes that you have smoked in your villa, or brought a prohibited item into our facility, you will be fined, and/or evicted without any refund.

LINEN CHANGING

Your comfort is very important to us. For guests staying multiples nights, bed linen is changed on a rotation schedule. Used towels are exchanged for fresh towels daily. Housekeeping will be happy to change your bed linens and make your beds once required if all personal items are removed. Please contact our staff if you have any additional questions or concerns.

FOUND ITEMS

Okeanos Luxury Villas is not responsible for any item left behind by a guest. However, any item, except for perishable items, left behind by our guests and found after departure by our staff will be collected and kept in a secure location for collection by their owner for up to thirty (30) days. Reasonable effort will be made to notify the guest that an item has found. Perishable items, underwear, and miscellaneous toiletries are discarded. The unclaimed item(s) are thrown away, given to local organizations, or disposed of accordingly by Okeanos Luxury Villas.

DAMAGE DISCOVERED AFTER CHECK-OUT

Guest villas found with waste strewn around, in complete disorder, and/or “trashed” will be subject to maintenance deep cleaning fee, administration fee and/or third-party fees.

DAMAGE TO VILLA

Damage to villas, fixtures, furnishing, and equipment including the removal of electronic equipment, towels, artwork, etc. will be charge at 120% of full and new replacement value plus any shipping and handling charges. Any damage to the property, whether accidental or willful, is the responsibility of the registered guest for each villa. Any costs associated with repairs and/or replacement will be charged to the credit card of the registered guest. In extreme cases, criminal charges will be pursued.

DAMAGE TO MATTRESSES AND BEDDING

Damage to mattresses and linen including towels, mattress pads, sheets, bedspreads, blankets resulting from the use of body oils, make-up, shoe-polish, etc. will result in a charge for the special cleaning, repair or replacement of the damaged article.

DAMAGE OR TAMPERING WITH FIRE DETECTION SYSTEMS/FIRE-FIGHTING EQUIPMENT

Okeanos Luxury Villas reserve the right to act against any guest or visitor found to have tampered or interfered with any detection equipment throughout the property, including detector heads in public areas, villa rooms, break glass points and fire extinguishers. Guests or visitors found to have tampered with any fire detection or fire-fighting equipment will be charged with any costs incurred by the property due to their actions and will be evicted from the property. Depending on the severity of the guest actions, law enforcement may become involved at the property’s discretion. Should the fact that firefighting or detection equipment had been tampered with come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit or debit card for any damage incurred to your villa or the property during your stay, including and without limitation for all property damage, missing or damaged items, smoking fee, cleaning fee, guest compensation, etc.

COMPLIANCE

Breach of any of these House Rules is a breach of the Terms and Conditions of occupancy as per the Rental Agreement.

The Owner and Manager reserve the right to terminate permission to occupy and to evict from Okeanos Luxury Villas property, any Guests or Visitors who refuse to follow these House Rules or who cause a nuisance to neighbors or other residents of the community.

RIGHT TO REFUSE SERVICE

Okeanos Luxury Villas is privately owned and operated. We reserve the right to refuse service to anyone for any reason(s) that does violate the laws. Okeanos Luxury Villas has a zero-tolerance policy in which we will refuse to admit or refuse service or accommodation in our villas or may remove a person, without refund, who refuses to abide by the reasonable standards and policies established by the Greek Tourist department and the owners for the and management of Okeanos Luxury Villas. Okeanos Luxury Villas will refuse service or evict a guest: for refusal or failure to pay for accommodations, is under the influence of alcohol, drugs, or any other intoxicating substance and acts in a disorderly fashion as to disturb the peace of other guests or is not in compliance with state liquor laws; acts in a disorderly fashion as to disturb the peace of other guests; is unable to properly supervise their children at all times, seeks to use the hotel for an unlawful purpose; seeks to bring into the villas: an unlawfully possessed firearm; or something, including an explosive or hazardous or toxic substance, that is unlawful to possess and that may be dangerous to other persons; destroys, damages, defaces, or threatens harm to Okeanos Luxury Villas property or guests; causes or permits persons to exceed the maximum allowable occupancy of room, refuses to abide by the reasonable standards or policies established by Okeanos Luxury Villas for the operation and management of our villas.

INSURANCE

It is a condition of the booking that the entire party is covered by comprehensive travel insurance (including cancellation, flight delays, loss and damage to baggage and other property) and health insurance. We strongly advise you to have a medical plan that will cover any medical expenses in Greece. If you or a member of your family has any serious chronic condition, including severe allergies, you are obliged to inform us in advance. Okeanos Luxury Villas is not responsible for all claims, including any accidents related to the use of Okeanos Luxury Villas facilities or locally procured third party services such as, watercraft, water sports, car, 4X4 vehicle, or motorbike rental etc. The Owner is not and cannot be held responsible for accidents caused due to the negligence and/or lack of attention of you or your guests in the grounds of the property (swimming pool, etc.).

Okeanos Luxury Villas shall not be responsible for any delay, additional expense or inconvenience caused directly or indirectly by events outside the Okeanos Luxury Villas’ control such as civil disturbances, fires, floods, severe weather, acts of God, acts of Government, termination of supply of electricity and water on the Island or Okeanos Luxury Villas area etc.

LIABILITY

Okeanos Luxury Villas is in no circumstances responsible for any loss, expense, damage, claim or injury either directly or indirectly, consequential, or otherwise whatsoever, however caused or incurred (within or outside the premises of Okeanos Luxury Villas).

If any accommodations and/or services are substituted, Okeanos Luxury Villas will act all times in good faith and use its best efforts to substitute with accommodations and/or services of a type comparable to or better than those originally contracted.

Okeanos Luxury Villas is not responsible for any deaths and injuries whatsoever within or outside its property, e.g., falls from the terrace, staircases, balconies, accidents in swimming pool.

Okeanos Luxury Villas is not responsible or liable for any personal injury or death casualty of accompanying children, whatsoever. Parents or legal guardians acts at their own risk and are solely responsible for the safety of their children. This includes using the swimming pool.

By acceptance of this contract and/or the transfer of the deposit, the client agrees, to the disclaimer of liability, written above and that this requirement has and will be complied with full extent.

Okeanos Luxury Villas is not responsible or liable for any personal injury or death casualty of accompanying children whatsoever. Risks to children are, e.g., the height of its terrace, its swimming pool, which is not guarded and electrical sockets, which don’t have child protection, etc. Adults guests are fully responsible for the safety of their children.

DAMAGE FROM NATURAL PHENOMENA

Our properties are provided with all necessary means of protection against natural phenomena such as floods, fires, and storms. Therefore, we are not responsible for any damage to or destruction of your or your guests` personal belongings caused by such a natural phenomenon.

COMPLAINTS

Okeanos Luxury Villas does not accept responsibility for the breakdown of the supply of water, or electricity, nor of swimming pool filtration systems, though we will use our best endeavors to arrange for any such problems to be resolved quickly.

Okeanos Luxury Villas will do as much as it can be reasonably expected to avoid and rectify any problems that may occur but cannot be held responsible for any problems. Any complaints must be notified to Okeanos Luxury Villas within 24 hours of the occurrence giving rise to the complaint.

Should a problem remain unsolved please make an immediate complaint in writing (email acceptable) to the representative of Okeanos Luxury Villas before completion of the rental period. If Okeanos Luxury Villas is vacated before the end of the rental period without mutual agreement this may result in the loss of all rights to compensation.

Okeanos Luxury Villas is not responsible, nor is it liable for any external or environmental noise or other disturbance arising out of its control.

No complaints will be considered if made after the departure date or if not acknowledged by Okeanos Luxury Villas owner or Okeanos Luxury Villas representative.

CONDUCT & BEHAVIOUR

Should any member of the party not behave in such manner, the owner or Okeanos Luxury Villas representative may at their absolute discretion ask the offending guest or guests or guests to vacate Okeanos Luxury Villas forthwith.

The whole villa is a non-smoking area, except sun deck and car park areas. It is strictly forbidden to throw any cigarettes, cigars, lighters, or other things, except on devices like ashtrays, after having put out the fire with water. It is specially forbidden to throw anything outside the handrails and balustrades of the terraces or in the garden.

VALUABLES

Any valuables left at the property are left at one’s own risk. Neither Okeanos Luxury Villas nor the owners nor the staffs are responsible for their loss, damage, misplacement, or robbery at any time. Please make sure that no valuables are lying around. All villas are equipped with the latest type of security systems, as well as a safe. You are solely responsible for the use and activation of the security system. You should make sure to have all doors and windows closed and locked when leaving the accommodation. In the event of any theft or damage occurring through negligence of you or your guests, the Owner has the statutory right to ask for compensation from you. In case you vacate the property owing to a burglary, no refund shall be given, unless proven evidence exists of the Owner’s failure to familiarize you of the anti-burglary systems in the accommodation.

DUE CARE AND SUPERVISION

As part of these terms, guests are required to take care when residing at Okeanos Luxury Villas and be especially watchful of children playing in the gardens, near the entrance of the property, in the staircases, close to the tempered glass, railing, the pool area and in the pool, all staircases in The Villa’ and at the balconies and terraces.

Furthermore, guests are not permitted to enter the building when still wet from the pool because the floor can be slippery. Damage or injuries arising as a result shall not be responsibility of The Villa’ or The Villa’ owner in any way whatsoever.

CANCELLATION POLICY

Okeanos Luxury Villas is not responsible for weather conditions, personal emergencies, or schedule changes.

No matter what the reason for the guest's cancelation is, the guest can cancel free of charge up to 30 days prior to check-in date for our direct “Standard Rate” (Which are in April, May, Part of June, Part of September, October) and the guest can cancel free of charge up to 60 days prior to check-in date for our direct “Standard F Rate” which are from late June till Beginning of September.

The guest will be charged for the total price of the reservation in case of reservation that will be cancelled during the "Non-Refundable/Non-Cancel” periods as mentioned above.

If the guests do not show-up they will be charged for the total price of the reservation.

All terms above do not apply if the guest has booked his stay under the “non-refundable” rates. In such cases, the guests will be fully charged for the total price of the reservation if they cancel or do not show-up.

OLV will refund within 30 days.

NO SHOW CHARGES

Failure to check in on the scheduled arrival date for a reservation guaranteed with a credit card will result in a No-Show fee being charged to your credit card.

PAYMENT POLICY

The guest will be charged a prepayment of the total price of the reservation at any time.

OLV pre-authorize guests' credit cards prior to arrival for all policy types.

OLV block full amount on the guests' credit card.

OLV charge full rental amount when free cancellation ends.

Okeanos Luxury villas will accept a prepayment by a credit card.
